Find the Best Website Maintenance Service for Your Site

April 19, 20234 min read

The best website maintenance service is the one that takes the right work off your plate. Before comparing plans, decide whether you need routine upkeep, help making changes, a specific repair, or a larger website project. That short list makes it easier to ask for a useful proposal.

For an existing WordPress site, use this guide to prepare your requirements. If you already have proposals, our website maintenance buyer’s guide explains how to compare their scope and costs.

1. Describe what the website needs to do

Start with the parts of the website your business depends on. List the important visitor actions: sending an inquiry, registering for an event, reading your publication, booking an appointment, or placing an order.

Then note anything that makes those actions harder today. “The contact form sometimes fails on phones” is more useful than “the website needs maintenance.” Include the page address, what you expected to happen, and what actually happened. You do not need to diagnose the technical cause.

2. Separate recurring work from current problems

Write two lists. The first covers work you want someone to handle regularly. The second covers things that need attention now.

  • Recurring work: WordPress, theme and plugin updates; backup oversight; monitoring; or keeping supplied website content current.
  • Current problems: A broken form, an error message, an outdated page, or a feature that behaves differently from what you expect.

Ask which items a maintenance plan covers and which need an initial assessment or separate estimate. Joining a plan should not be treated as an agreement that every existing problem is included.

3. Decide how much hands-on help you want

Think about the last few months. Which website tasks interrupted your day? Which changes did you postpone because you did not know how to make them?

  • You want technical upkeep: Ask who handles updates, checks, backups and follow-up when something needs attention.
  • You also want everyday changes: List examples, such as replacing supplied text, updating staff details or adding an event. Ask about included support time and approval for extra work.
  • You need a larger improvement: Describe the outcome—a new booking workflow, a restructured site or a redesign—and request a separate scope.

Make the division of work explicit. If your team will supply text and images, say so. If you need someone to create those materials, include that requirement instead of assuming it comes with maintenance.

4. Check what your existing hosting already covers

Collect your current hosting and maintenance agreements. Identify who is responsible for the server, WordPress software, paid licenses, backups and website changes. Ask about anything the agreements leave unclear.

A hosting feature list alone does not tell you who will investigate a broken plugin or update your contact page. Get those responsibilities assigned before adding another service. If you want to keep your current host, include that preference in your inquiry and ask whether the proposed arrangement supports it.

5. Explain your communication and scheduling needs

Decide who on your team will submit requests and approve recommendations. A shared written request can keep page links, screenshots, decisions and progress together, particularly when several people contribute feedback.

List any important deadlines, launch dates or periods when the website must handle a busy workload. Ask the provider for its staffed support hours and timezone, how urgent issues are reported, and what happens outside those hours. Automatic monitoring and a staffed response are separate things to confirm.

A short brief you can adapt

Example only—replace the details with your own.

We have an existing WordPress website at [website address]. We want a team to handle ongoing technical upkeep and help us keep our pages current.

Our most important website functions are [functions]. Current problems are [problems, page links and screenshots]. Typical changes include [examples and approximate frequency].

Our current provider/hosting arrangement is [details or “not sure”]. We are considering a change because [reason]. We would prefer [communication approach], and [role] will approve work. Our important deadlines are [dates].

Please recommend a suitable service, explain what is included, identify any initial work or separate charges, and tell us what information you need next.

Send the brief without passwords, private customer records or payment details. Let the receiving team explain its secure access process when access becomes necessary.

Turn your brief into a clear next step

If a provider is retiring or handing over the business, use our WordPress website handover checklist to organize the accounts and responsibilities involved. You do not need to promise a migration or rebuild before the existing site has been assessed.

Stoute Web Solutions focuses on WordPress care, hosting, support and website design. Send us your website address and brief to start in writing, or review our care plans for the current inclusions. Larger changes are scoped separately from ongoing care.
